Meeting the patient

Testing your equipment

It’s important to test your equipment before the appointment. You can test your equipment by clicking the pre-call test button at the top of our homepage on our website or by clicking here.

This test will check the strength of your internet connection and that your microphone and webcam are currently setup to be able to listen to and see the other person. It is important to use Google Chrome for this test and for the appointment itself.

Joining the meeting

Before the appointment is due to start, join the appointment by clicking the appropriate link on the dashboard. You can also join an appointment using the appointments page:

  1. Go to the “Appointments” page.
  2. Click “Meeting Link” in the “Doctor Link” column.

During the meeting

During the appointment, an audio recording will automatically start once both parties have joined the room. As a doctor, you will have the ability to stop the recording at any time. If a patient asks you to stop recording, then you should explain that audio recordings are not shared and will only ever be used for security or insurance purposes. However, if they insist that audio recordings should be disabled, then you must disable the recording and note this in the post-consultation notes.

After the meeting

At the end of the appointment, you will be given the opportunity to complete the post-consultation form where you can write notes that will be shared with the patient. You can set a prescription if required. You can also set any tasks for admins that you wish them to follow-up with.

If you do not complete the post-consultation form, any pending payments for the appointment will not be activated, so it is important that you complete this form as soon as possible after the appointment.

If you cannot complete the form immediately, you can complete it at a later time:

  1. Go to the “Appointments” page.
  2. Go to the “Past” tab.
  3. Find the appointment in your appointment history table and click PCF in the “PCF” column.

Extra appointment minutes

If the appointment runs over and you have informed the patient that they will need to pay for additional appointment minutes, then you should record the exact number of minutes that the consultation ran over (anything over 50 minutes for a standard appointment and 20 minutes for follow-up). The last 10 minutes and 5 minutes of those appointments are reserved for you to write the patient notes and are not part of their online appointment.
