Cancelling the appointment
- Go to the “Patients” page.
- Select the new doctor from the dropdown box.
- Change the patient’s treatment to “Free Treatment (Pre-Paid)” from the “Treatment” dropdown. Remember what their treatment was because it will need to be changed back again later.
- Go to the “Booking Calendar” page.
- Select the old doctor from the dropdown box.
- Find the appointment in the calendar.
- Hover over the slot and click Edit.
- Change the “Status” to “Cancelled”.
- In the “Reason to cancel” box, tell the patient that they will receive new details by email shortly. Also be sure to tell the patient to ignore recent invoices and that a new one will be issued shortly.
- Go to the “Self Funded Patients Invoices” page.
- Find the invoice for this patient and click Cancel.
Creating the new appointment
- Go to the “Booking Calendar” page.
- Select the new doctor from the dropdown box.
- Book the new appointment in the calendar as “Provisional”.
- When the box appears asking for payment, choose “Pay Later”.
- Go back to the patient’s profile and change the their treatment back to what is was before.
An email will now be sent to the new doctor asking them to approve the appointment. The patient will also get an email with the invoice of £0.00 (Paid). When the new doctor approves the appointment, the patient will get confirmation of the new appointment with the links for that appointment.
